What are you going to do?

As Customer & Certification Specialist, you play a key supporting role in supporting our customers and internal organisation. You combine commercial support and customer-focused coordination, while being responsible for the careful administrative handling of certification projects.

 

Once a customer enquiry is handed over by the Account Manager, you take over the customer contact ensuring accurate and timely handling of requests. You prepare quotations, actively follow them up, validate confirmed orders, and ensure that all information is recorded correctly and completely in the CRM system. Throughout the process, you maintain contact with customers and coordinate with internal experts to keep expectations clear.

 

You monitor the administrative process and assign projects to planning at the appropriate moment, after which planning initiates the actual execution of the project. Once the work has been completed, you take back ownership of the project for the correct administrative completion and issuance of certificates. In doing so, you coordinate with internal experts and the Certification Board to ensure that certificates are only issued once the project has been fully completed.

 

With your structured and service-oriented way of working, you create clarity, overview, and continuity in the process and contribute to a reliable and professional customer experience.

 

Key Responsibilities

  • Supporting the sales process with administrative and commercial activities, such as preparing quotations and processing orders

  • Proactively contact customers to follow up on quotations, open requests, and recurring or repetitive inspections

  • Ensure accurate, complete, and up-to-date information in the CRM system

  • Coordinate customer requests internally with Account Managers, Technical Experts, and Operations

  • Validate confirmed orders and ensure a smooth and well-documented handover to the Operations department

  • Act as a reliable point of contact for customers regarding questions, clarifications, and status updates

  • Contribute to continuous improvement initiatives aimed at enhancing customer experience and internal processes

  • Ensure the timely and correct issuance of certificates

Job requirements

What do we expect from you?

  • Native Dutch speaker of fully fluent in Dutch (mandatory) with an excellent command of English

  • Experience in a supporting customer service or inside sales role, preferably in a technical or service-oriented environment

  • Proven experience with quotations, customer follow-up, and CRM administration

  • A proactive working style: you take initiative in following up and monitoring customer requests without being prompted

  • Customer-focused, structured, and accurate in your work

  • Strong communication skills and the ability to coordinate effectively with multiple internal stakeholders

  • Experience with HubSpot and/ or Exact Online is highly desirable
