If so, you are the Customer Service Representative that we are looking for!

 

What are you going to do?

As Customer Service Representative, you play a key supporting role in ensuring an accurate and timely administrative process. Once a customer enquiry is handed over by the Account Manager, you take over the customer contact and are responsible for the accurate processing, follow-up, and internal coordination from quotation through to confirmed order.

 

You carefully capture and understand customer requirements, prepare accurate quotations, proactively follow up with customers, validate confirmed orders, and ensure that all information in correctly and fully recorded in the CRM system. Additional customer requests are coordinated with internal teams, ensuring that questions are addressed, nothing is missed, and customer expectations are clearly aligned.

 

You work closely with Account Managers and internal stakeholders such as Technical Experts, Team Leaders, and Operations colleagues to coordinate customer requests and ensure a correct and complete handover once a project moves into execution. An important part of your role is proactively monitoring open enquiries and quotations and maintaining contact with customers regarding recurring or repetitive inspections.

 

With your service-oriented, structured, and proactive approach, you contribute to a high-quality customer experience and support the sales organisation by ensuring accuracy, continuity, and reliable follow-up.

 

Key Responsibilities

  • Provide administrative and commercial sales support, including preparing quotations, validating orders, and customer follow-up

  • Proactively contact customers to follow up on quotations, open requests, and recurring or repetitive inspections

  • Ensure accurate, complete, and up-to-date information in the CRM system

  • Coordinate customer requests internally with Account Managers, Technical Experts, and Operations

  • Validate confirmed orders and ensure a smooth and well-documented handover to the Operations department

  • Act as a reliable point of contact for customers regarding questions, clarifications, and status updates

  • Contribute to continuous improvement initiatives aimed at enhancing customer experience and internal processes

Job requirements

What do we expect from you?

  • Native Dutch speaker of fully fluent in Dutch (mandatory) with an excellent command of English

  • Experience in a supporting customer service or inside sales role, preferably in a technical or service-oriented environment

  • Proven experience with quotations, customer follow-up, and CRM administration

  • A proactive working style: you take initiative in following up and monitoring customer requests without being prompted

  • Customer-focused, structured, and accurate in your work

  • Strong communication skills and the ability to coordinate effectively with multiple internal stakeholders

  • Experience with HubSpot and/ or Exact Online is highly desirable
